This document forms an integral part of the Coding Grace Code of Conduct.

As more conferences like DefCon, Monopoly events who run ComicCons in Uk, DublinComicCon updated their policies regarding smart glasses, specifically Meta Glasses, Coding Grace have decided to bring in a policy about a ban in smart glasses at our events.

The purpose of this policy is to protect the privacy, comfort and safety of our attendees, guests, volunteers and anyone involved in our events.

Remember, any of our events are ticketed events, and therefore have rules and are not a free for all like a public space.

This policy includes:

• glasses or eyewear containing a camera or recording function;
• hidden, concealed or discreet video or audio-recording devices;
• wearable cameras designed to record people without the device being immediately obvious;
• any similar equipment which event management or security reasonably believes may be used for covert or non-consensual recording.
  The policy applies whether or not the device is switched on, recording, connected to a phone or fitted with prescription lenses.

These devices are not allowed to be worn or used at our events.

Attendees bringing these devices should leave them at home or bring a conventional pair of prescription glasses to use during the event.

General recording policy

This policy is not intended to prevent ordinary photography, filming or people capturing memories at our events. Mobile phones and conventional cameras may still be used, subject to venue restrictions, guest instructions, and our existing event code of conduct.

• Ask before taking a photograph or video of another person at the event.
• Do not photograph anyone with a red lanyard, and if you do by accident, edit out the person(s) wearing the red lanyard (s).
• Do not photograph or record minors without the clear permission of their parent or guardian.
• Do not continue photographing or recording someone who has asked you to stop.
• Do not use cameras in toilets, changing areas, quiet rooms, medical areas, backstage areas or anywhere photography is marked as prohibited.

Major conferences and conventions similarly treat harassing or non-consensual photography and recording as conduct violations and require attendees to respect personal boundaries and posted recording restrictions.

Reporting a concern

If you believe someone is secretly recording attendees, using a prohibited device or otherwise acting inappropriately, please notify security or a member of the event team while the incident is taking place.

Please do not wait until after the event to report it through social media or email. Reports made afterwards can be extremely difficult to investigate, identify or verify.

Where possible, tell event organisers/volunteers:

• where the incident is taking place;
• what the person looks like;
• what device they appear to be using; and
• whether anyone is currently at risk or being harassed.
  Do not confront the person yourself. Allow security and event organisers to deal with the situation.

Enforcement

All attendees, guests, volunteers and organisers are required to comply with this policy and with reasonable instructions from event management, venue staff and security (where applicable).

Where a prohibited device is identified, the individual may be required to:

• remove or stop using the device immediately;
• place it securely out of use;
• remove it from the venue; or
• leave the event.
  A breach of this policy, misuse of an agreed accessibility accommodation, covert or non-consensual recording, harassment, refusal to cooperate with security, or attempting to circumvent the policy may result in:
• refusal of entry;
• confiscation of the attendee’s credential;
• removal from the event without refund;
• exclusion from future Coding Grace organised events; and
• referral to venue management or An Garda Síochána where appropriate.

Event management reserves the right to determine whether a device falls within this policy and to take whatever proportionate action is considered necessary to protect attendees and the event.
